1. Overview / Purpose of this Release

What We’re Planning to Build

BRR 3.0 builds on the structure of BRR 2.0 to deliver greater completeness and usability in financial reporting, specifically introducing Exhibitor Revenue and support for cross-month revenue analysis by item.

Why We’re Building It

While BRR 2.0 allowed revenue tracking grouped by months, it missed several key use cases:

  • Exhibitor revenue was previously bundled under Event Revenue, limiting granularity.
  • There was no way to track how one item (like Annual Conference) performed across multiple months or fiscal periods.
  • Admins needed greater flexibility in viewing data and grouping it to answer more nuanced revenue questions.

What Problem We Are Trying to Solve

  • Lack of clarity in Exhibitor-related revenue (Booths and Booth Staff).
  • Inability to generate revenue performance by item over extended periods.
  • Difficulty analyzing item level revenue on a monthly basis or vice versa.

How We Plan to Solve It

  • Introduce Exhibitor Booth and Additional Booth Staff revenue as distinct report columns.
  • Add grouping flexibility (Group by Month, by Item, or both in any sequence).
  • Allow report generation for any custom or system-defined timeframe (e.g., Fiscal Year, Calendar Year).

2. New Features Included in This Release

  • Exhibitor Revenue Enhancements:
    • Two new report columns added: Booths and Additional Booth Staff.
    • Revenue is now accurately categorized and visible to users.

  • Enhanced Grouping Options:

    • Group reports by:
      • First: Items or Months
      • Then (optional): Months or Items

    • Enables breakdowns such as:
      • Revenue for a specific item across months.
      • Revenue by month with sub-items listed.

  • Updated Report Timeframe:

    • New “All Time” option added.
    • Support for preset periods such as Fiscal Year, Calendar Year, Fiscal Quarter, and Calendar Quarter.

  • Updated UI Controls:

    • “Generate Report For” dropdown now includes Booths and Additional Booth Staff under the Event Revenue category.
    • Grouping selectors labeled “First Group By” and “Then Group By”.
    • Sub-options added for Consolidated Event Revenue vs. selecting specific line items.

  • Export & Drill-down Popups:

    • Every numeric cell in the grouped view opens a drill-down popup.
    • Users can view either:
      • Grouped by invoice
      • Grouped by item (e.g., bundles, sessions)

3. Deprecated or Temporarily Removed Functionality

  • Not Included (Deferred by Design):
    • Credit Note Breakdown (consolidated vs split) was considered but not included in this release.
    • Group by Revenue Account (G/L Account) and Department Code (Sage Intacct-specific) have been deferred due to architectural limitations (line item-level grouping required).

4. How to Use the New Features

What permissions need to be enabled?

  • No additional permissions are required beyond those that allow access to the Revenue module and BRR report view.

Steps to Generate the Updated Report:

  1. Navigate to Revenue > Reports > Booked Revenue Report.
  2. Under Generate Report For, select one or more categories (e.g., Event Revenue, Class Revenue).
  3. Expand Event Revenue to choose Consolidated Event Revenue or specific line items (e.g., Booths, Sessions).
  4. Use the First Group By and Then Group By dropdowns to define how the data should be structured.
  5. Select a timeframe using either:
    • Custom month range
    • Fiscal/Calendar Year
    • Fiscal/Calendar Quarter
  6. Click Generate Report.
  7. Click on any metric to drill into detailed invoice/item data (sortable and exportable).

5. Which customers will benefit the most from these features?

  • Any association with Exhibitor participation and tiered item-based billing.
  • Organizations with large multi-month events (e.g., Annual Conferences, Legislative Summits).
  • Financial teams that need high-fidelity reconciliation and audit support.

6. Any known issues with this release?

  • None reported at the time of release.
  • Note: Grouping by Department and G/L Account is unavailable in BRR 3.0 but may be supported in future line-item exports.

7. What Kind of Support Issues Does This Release Help Reduce?

  • Fewer tickets about missing exhibitor revenue.
  • Reduced confusion about where specific item revenue appears.
  • Lowered reliance on backend reporting to reconcile long-term item performance.
