New Feature: Position History

Overview:

This new feature extends the position-related information on a person’s record in order to track the position history of a person on their profile within the Relationships module.  This includes the various positions a person has held in the past or is currently holding in organizations defined for the Association. Both current and past positions can be added for one or more organizations, and the ability to reflect multiple “current” positions is supported.


The feature has been implemented in the following impact areas:

  • Manage Fields
  • Person Profile
  • All People List
  • Group Management
  • All People List Export
  • Position History Impact Areas

Manage Fields:

  • In the “Manage Fields” area of the System Settings, you can configure the fields that are related to the “Organization” field for a person.
  • The Total Time Worked and the Position Dates fields can be turned on and off, and enabled for display by Person Type as shown in the screenshot below.
  • Selecting the gear icon next to the organization fields will display the pop-up as shown below.


Person Profile:

  • Editing a person’s profile now allows you to:
    • Edit existing positions and add start and end dates for positions (by clicking the pencil icon next to the position)
    • Add additional positions to an existing organization
    • Add additional organizations and the positions held over time in that organization
  • In this release, the organization marked as “Primary” will be used in areas like Event and Class registrations.

  • When adding a new position, a checkbox can be marked indicating that the position is a current one for the person.  As a result, an End Date will NOT be entered.  
  • If the “Currently Working” checkbox is not marked, it is assumed the position is a past one, and both Start Date and End Date are required.  See the screenshot below:

  • Positions that are marked as “Currently working” will have a green “Current” flag associated with the position.
  • In order to simplify the user interface, past positions are initially collapsed and can be expanded by clicking the blue link to show them.

All People List:

  • The All People list is impacted by the new Position History functionality in several ways.
    1. “Current Position”, “Current Department”, and “Current Organization” fields have been added as new fields allowing one to see one or more current positions held along with the associated department(s) and organization(s).
    2. “Total Time Worked” field has been added, displaying the total tenure an individual has served in organizations that are part of the Association.

  • New filters have been added, allowing the All People List to be filtered by Position Status & Total Time Worked (In Years). 

  • When a Person profile page is opened for the first time after this release, the Total Time Worked will be shown as “0”, as the existing position does not have Start and End dates that can be used to calculate time . As Position Start and End Dates are added, Total Time Worked will begin to be calculated. 

Group Management:

  • Position History elements have been added to the Criteria Builder for Dynamic Groups.
  • Current Positions, Past Positions, and Total Time Worked can all be used as criteria for building Groups as shown in the screenshot below.

All People List Export:

  • The All People List person export has been enhanced to take advantage of the new information captured by Position History.
  • The new fields were added to export the data of the person on the basis of Current/Past position, department & organizations as shown in the screen below.

All Requests:

  • Position History changes are also reflected in the All Requests area where field change approvals are in effect.
    • Click on My Area a dropdown enhances select Requests and All Requests you will be landed on the All Request page.
    • In this page you will see the number of tabs as shown below in the screenshot.
    • Any change request generated by Requester, Approver, Organization or Approval Status related to any of the tabs, gets approved here.

  • In All Requests on the right side pane, you will be able to see the people under the “Requested For” column and the positions they worked under the Current Position column.
  •  In the Current Position column if a person is holding multiple positions then it will show the count of positions he worked for and once we click on the hyperlink (Count of positions) it will show all positions he has performed under that organization as shown in the screenshot below.
