The business of being an association is all about people. In managing information about people, it's important to be able to capture and understand their history as they've moved between organizations and positions. Now you can in Engagifii
Introduction:
Engagifii now provides the ability to track the position history of a person on their profile record in the Relationships module. Following a pattern established by LinkedIn, Associations can track the positions held by any person over time as they change positions, change organizations, or even hold multiple positions at the same time.
Fields:
In the “Manage Fields” area of the System Settings, you can configure the fields that are related to the “Organization” field for a person:
The new fields added include:
- Total Time Worked - displays the total time worked across positions and organizations
- Position Dates - allow you to specify the dates during which the position was held
Updating and Adding Positions:
When you view a person’s record for the first time, any existing positions will not have position dates, since they are new fields. The Total Time Worked will show “-” or be suppressed altogether because time worked cannot be calculated without dates in place:
Clicking the blue “Edit” button will allow you to:
- Edit the existing position by clicking the pencil icon, or
- Add a new position – in this case by clicking the “Add Position” button, or
- Add an additional Organization by clicking the blue “Search…” button.
When a position is added for a person, specify the Department and Position as before, but now:
- Indicate whether the person is currently working in the position by checking the box – in this case, you will not provide an “End Date”
- Provide a Start Date for the position
- Provide an End Date for the position (if the person is not currently working in the position).
Other Areas of Engagifii Impacted:
A number of areas in Engagifii have been updated to take advantage of the new data available through Position History, including:
- Filters on people lists across the platform – you’ll be able to filter on new fields like “Total Time Worked” & “Position Status”.
- Exports from people lists across the platform – you’ll be able to select the additional fields for export, such as exporting all the positions people have held and the organizations they have held them in
- Dynamic Groups – you’ll be able to use fields like “Current Position”, “Past Positions” and “Total Time Worked” as criteria in building dynamic groups
Summary:
Maintaining the history of positions held by people – especially your members – will provide your Association with a number of benefits, including:
- The ability to easily view, track, and report on the time those people have dedicated to organizations that are important to your Association,
- The accurate depiction of positions held by people and where they are held – especially if they hold multiple positions concurrently at the same organization or different organizations.
- The maintenance of a historical record of positions held by people over time.
Once all updates to the person’s profile have been saved, the Total Time Worked is calculated and displayed as shown below:
