How does Engagifii handle email delivery speeds for mass emails?
We understand that email delivery to your members and constituents is a very important consideration for keeping your community engaged with your organization and you expect for Engagifii to be best in class when it comes to speed of email delivery with mass emails.
When it comes to mass email delivery, speed isn't everything, but it can certainly impact campaign success. Several factors can influence how quickly your emails reach recipients' inboxes, and they fall into two main categories: infrastructure and content:
- Infrastructure factors
- Platform scalability: emailing platform must have the necessary infrastructure to handle large volumes of emails simultaneously. To that end, there are three factors that you should be aware of with regard to Engagifii’s mass email delivery strategy:
- Engagifii itself runs on Microsoft Azure Cloud, a cloud based platform that is designed for virtually infinite scale.
- Engagifii’s default mass email delivery partner is a best-in-class email delivery platform called Twilio Sendgrid Enterprise. It is designed for massive amounts of scale - trillions of emails - a lot more scale than most of our customers will ever need or use when it comes to sending emails to their members.
- Engagifii also offers a paid integration option for our customers to send emails via an integration with MailChimp or ConstantContact. Your member lists and groups will synchronize with the integrated email delivery partner, and then all email delivery will be the responsibility of your chosen email delivery vendor.
- Sender reputation: ISP's track the sending behavior of various domains and email addresses. A good sender reputation, built through consistent, legitimate email practices, leads to faster delivery, while a poor reputation can land your emails in spam folders or even get them blocked entirely. Engagifii’s strategy here is two-fold:
- Customers on our base plans, you would use Engagifii’s own Sendgrid account for sending emails from Engagifii’s domain and leveraging our email reputation. Our technology teams are constantly managing and monitoring our domain reputation with ISP’s to ensure a high level of trust and reliability with sending emails through our domain. At no point, ever, has our email domain reputation gone below 98%.
- Customers who prefer to have emails to their members go from their own email domain (recommended), your customer success manager will help guide you through the process of setting up your own Sendgrid account which can then be immediately integrated into your Engagifii workspace. Your members will receive emails from your domain and email delivery will be determined by the reputation of your domain.
- IP address type: Dedicated IP addresses, used only by your company, offer better control over reputation and potentially faster delivery compared to shared IPs, where multiple senders share the same address and can impact each other's reputation. Engagifii’s strategy:
- Engagifii has its own dedicated IP address that our “shared access” customers will leverage when you send out an email from the Engagifii domain.
- When you run your own email domain reputation, we recommend that you also elect to have your own dedicated IP address. This greatly improves deliverability and speed of email delivery.
- Platform scalability: emailing platform must have the necessary infrastructure to handle large volumes of emails simultaneously. To that end, there are three factors that you should be aware of with regard to Engagifii’s mass email delivery strategy:
- Content factors
- Email size and complexity: Large, image-heavy emails or those with embedded videos might take longer to deliver compared to text-based messages. Keep file sizes optimized and consider alternative options for content presentation.
- Spam triggers: Certain words, phrases, or formatting in your email content can trigger spam filters, delaying delivery or even marking them as junk.
- Recipient engagement: If recipients frequently open and engage with your emails, ISPs are more likely to prioritize future messages for faster delivery.
- List hygiene: Sending emails to outdated or invalid addresses can harm your sender reputation and slow down delivery for valid recipients. Regularly scrub your email lists and only send to confirmed opt-in users.
- Campaign size and timing: Sending a large number of campaigns all at once can put a strain on servers and cause delays in delivery. Consider staggering your campaign over time or segmenting your list to spread out the sending load.
- Additional factors
- Recipient email provider: Different email providers may have varying processing times and spam filters, influencing how quickly your emails arrive.
- Network congestion: General internet traffic fluctuations can sometimes slow down email delivery for everyone, regardless of specific campaign factors.
